How Aivolve Transformed Their Business

Aivolve designed and implemented a complete lead-to-appointment automation system built on n8n workflow automation as the central orchestration layer. The system begins the moment a lead submits a form on any landing page or clicks a WhatsApp ad — an n8n workflow instantly captures the lead data, enriches it with source attribution and UTM parameters, and routes it to the appropriate agent based on property type, budget range, and geographic territory. Simultaneously, a personalized WhatsApp message is sent to the lead within 60 seconds via the WhatsApp Business API, acknowledging their inquiry and asking three qualifying questions about budget, timeline, and preferred location. The AI chatbot handles the initial conversation, scores the lead based on their responses, and tags them in the CRM as Hot, Warm, or Cold. Hot leads trigger an immediate calendar booking flow that offers available site visit slots, while Warm leads enter a nurturing sequence with property recommendations and market insights. Cold leads are moved to a long-term email and WhatsApp drip campaign. We also implemented automated follow-up reminders that nudge agents at 2-hour, 24-hour, and 72-hour intervals if a lead has not been contacted. A live KPI dashboard was built to give management real-time visibility into lead flow, agent response times, conversion rates, and cost per qualified appointment. Weekend leads are now handled identically to weekday leads — the chatbot qualifies and books site visits automatically, with agents receiving a curated list of confirmed appointments every Monday morning.
