When a client messages the spa on WhatsApp — whether initiated by an ad, a Google Business Profile click, or organic outreach — an AI chatbot immediately engages with a friendly greeting and presents available services, time slots, and therapists. The chatbot handles the entire booking flow conversationally: selecting a service, choosing a location and therapist, picking a time slot, and confirming the appointment — all within the WhatsApp chat. Once booked, the n8n workflow automatically creates the appointment in the centralized calendar, sends a confirmation message with a calendar invite, and schedules automated reminders at 24 hours and 2 hours before the appointment. If a client needs to reschedule, they simply reply to the reminder and the chatbot handles the change. No-shows trigger an automated follow-up with a rebooking incentive. We also implemented an upsell engine that suggests premium add-ons — like aromatherapy with a basic massage — during the booking flow and in the 2-hour reminder message. Seasonal promotion campaigns are now sent as WhatsApp broadcasts to segmented client lists based on service history and preferences, driving rebooking during typically slow periods. A centralized dashboard gives management real-time visibility across all three locations — booking rates, no-show rates, revenue per therapist, and peak-hour utilization.
